Guidelines for abstracts

Abstracts should be 250 words or less. Presenters must submit a full paper in order to receive a speaking slot and to be included in the proceedings. Submitted papers should target no more than 15 pages in length.  Longer papers will be evaluated on an individual basis.  Abstracts for posters will also be accepted without a requirement for a paper; however, authors who submit poster abstracts are strongly encouraged to provide full papers for publication. During technical reviews, some abstracts may be assigned as posters in order to accommodate as many authors as possible with limited availability for presentation slots. In the event that a presentation slot becomes available, the poster will be upgraded to a presentation and included in the final proceedings.  All presentations will be given 30 minute time slots: 5 minutes introductions, 20 minute presentations, 5 minutes Q&A.

Call for posters

The posters will be visited by many attendees at the conference. It is important that your poster is clear, concise, and well laid out for maximum impact.

Please, adhere to the following format guidelines when preparing your poster:

  • A tack board approximately 4 ft high by 6 ft wide (1.2 m high by 1.8 m wide) will be provided. Your poster should fit within these dimensions.
  • Thumb tacks will be provided. These should be large and strong enough to support your poster.
  • The title of your poster must be in lettering at least 1 in high (72 pt), and your poster must include your name and affiliation.
  • You may want to include an acknowledgments section to thank colleagues for their help on your project (such as an advisor or fellow students), as well as to mention any disclosures or funding information.
  • Your poster should include aims, essential experimental details, key results, a simple summary and conclusions.
  • Text should be minimized to avoid attendees having to read too many details. The lettering should be large enough to be legible 5 to 6 ft away. Commercial names, logos, and trade names may not be used throughout the text. Use a generic term to describe any commercial product utilized/investigated.
  • Figures, tables and scales should be large enough to read clearly.
  • Posters should be self-explanatory; they should not require additional verbal explanations.

At the conference:

  • The poster area will be open for setup between 8:00 a.m. - 10:00 a.m. on Wednesday, August 13. Times subject to change and will be confirmed in the final program. The posters will be placed in Regency Foyer during the conference breaks.
  • Posters will be moved to the Beacon Rotunda at 4:00 p.m. You must be present at your poster on Wednesday, August 13, 2025 from 5:15 to 6:45 p.m. during the Poster Reception prior to the Banquet.
  • Awards for the top 3 posters, scored by a panel of experts, will be presented at the banquet.
